Privacy Policy

1. Who We Are

Geoptie measures how a brand appears in AI answer engines. This policy explains what data we handle, why, where it is held, and who else is involved.

The controller is Textintel FZE, a free zone establishment registered in Dubai, United Arab Emirates, with registered office at Starcamp Global, DWTC The Offices One, Office 01.03, Dubai, UAE. You can reach us at support@geoptie.com.

2. Data We Collect

  • Account and billing: name, work email, company name and domain, hashed password, team role. Billing contact and tax details are collected and held by Stripe.
  • What you provide: brand names, domains, target countries, selected engines, the prompts you choose to track, and any pages or drafts you submit for analysis.
  • What the Service generates: responses returned by AI engines to your prompts, the citations within them, the metrics computed from those responses, and your analyses and reports.
  • Technical and usage: IP address, browser and device information, in-product events, and error diagnostics.

We never receive or store your payment card details, which go directly to Stripe's hosted checkout. Geoptie is a marketing analytics tool, is not designed to process personal data about your own customers or employees, and should not be used for that. We do not knowingly collect special categories of personal data.

3. Why We Use It

  • To provide the Service, including running prompt measurement and producing reporting. Basis: performance of a contract.
  • To take payment and meet accounting obligations. Basis: contract, and legal obligation.
  • To provide support and send operational and security notices. Basis: contract, and legitimate interests.
  • To secure the Service, prevent abuse, and diagnose faults. Basis: legitimate interests.
  • To understand usage in aggregate and improve the product. Basis: legitimate interests.
  • To send marketing communications. Basis: consent, which you can withdraw at any time.

The Service produces scores, rankings, and recommendations about brands, not about people. We do not make decisions producing legal or similarly significant effects about you based solely on automated processing.

4. Who We Share It With

We do not sell or rent personal data, and we do not share it for advertising.

We disclose data to service providers that help us operate the Service, only as needed to do so, and they process it on our instructions under written terms. The categories are cloud hosting and infrastructure, our payment processor, AI answer engine and large language model providers, search and data retrieval providers, email delivery, product analytics and error monitoring, and scheduling tools.

A current sub-processor list, naming each provider with the data it sees and where it is located, is available on request.

Where you use the Service through a workspace, your account details and activity are visible to your workspace administrators and other authorised members of it.

We may also disclose data where required by law, to protect our rights or the safety of others, or to a successor in a merger or sale of assets.

5. Where It Is Held

Our database, authentication service, and file storage run in Frankfurt, Germany, so customer data rests in the European Union. Several of the providers above are based in the United States, so transfers outside the European Economic Area do occur for those functions. Where personal data is transferred we rely on appropriate safeguards such as Standard Contractual Clauses or an adequacy decision.

6. How Long We Keep It

  • Account and service data is retained for the life of your subscription.
  • You can delete a brand from within the Service at any time, which removes the content, optimisations, reports, and metrics stored against it.
  • On request to support@geoptie.com we will delete your account and its data from active systems within 30 days. Copies held in encrypted backups are removed in the ordinary backup rotation, within 90 days.
  • Billing records are retained as long as tax and accounting law requires.
  • Aggregated, de-identified data may be retained after closure, as it no longer identifies you.

7. Your Rights

Depending on where you are, you may have the right to access your personal data, correct it, delete it, restrict or object to processing, receive it in a portable format, and withdraw consent. You may also complain to your local data protection authority.

To exercise any of these, write to support@geoptie.com. We will respond within one month, and may extend that by up to two further months for complex requests, telling you if we do. We will not charge you or reduce your service for asking. Where we process personal data on your behalf as a processor rather than as a controller, we act on your instructions and will enter into a data processing addendum on request.

8. Security

  • TLS encryption in transit, AES-256 encryption at rest
  • Passwords hashed so that our staff cannot read them
  • Access scoped to your workspace and enforced on the server for every request
  • Third-party credentials held in an encrypted secret store
  • Restricted administrative access to production, with error and availability monitoring

No system is completely secure, and this section is not a warranty of a particular security outcome. You are responsible for keeping your own credentials secure and for telling us promptly if you believe your account has been compromised.

If a security incident affects your data we will notify you without undue delay and no later than 72 hours after becoming aware of it.

9. Cookies

We use cookies and similar technologies to keep you signed in, remember preferences, and measure how the Service is used. You can control cookies in your browser settings, though disabling them may affect functionality such as staying signed in.

10. Children

The Service is for business use and is not directed to individuals under 18. We do not knowingly collect their personal data. If you believe a child has provided us with personal data, contact us and we will delete it.

11. Changes and Contact

We may update this policy. Each version is dated, and where a change materially affects how we handle your personal data we will give notice by email or in the Service before it takes effect.
